Calendar Listing Information and Instructions

Following are instrutions for entering and editing events in the Meetings and Mixers Events Calendar. We made this page open a separate window so you can keep it open and refer back and forth to it.

Some of these items are not quite complete. We're working on it...

  • My listing, is it free or fee?
    • Most listings are free. Read on...
      • Pay To List: Almost all events are free to list in the calendar, but if you earn your income from putting on events, or use your events to attract new clients, (examples: coaching or training company recruiting clients; real estate company home buying seminar; multilevel marketing company building a downline; loan company seminar to get new customers, etc.) then the calendar listings are considered an "advertisement" and an advertising payment is due. These listings are then categorized as Business/Commercial, BizOpp/Investment/MLM, Presentation or the optional Featured and Highlighted Events. (see Not Really Networking Events, below).
      • Events Without an Entry Cost: Just because you don't charge an entry fee is not a reason to declassify it from being Business/Commercial or BizOpp/Investment/MLM. Often not charging an entry fee means that there is a sales pitch forthcoming for services or products making it a Presentation, a category requiring payment.
      • New Calendar Area Waiver: No listing fees will be charged until there are a minimum of 50 events per month in the calendar to which an event is being submitted. At this time all of the Southern California calendars have more than 50 events so the listing fees apply. No other calendars currently meet this criterion.
      • Free To List: Events which favor the attendee and/or are hosted by non-profits and do not include a pitch for the services of the host are always free to list. Examples are bona fide networking events, chamber of commerce functions or public entertainment events, SBA.SCORE training, Toastmasters.
      • Not Really Networking Events: Many events are erroneously called "networking" because there is a short time for people to mingle before or after the main event, which is actually a pitch from the host or a guest promoting their service or product. These are NOT real Networking Events and do not belong in the Networking category.
      • Proper Category Mandatory: Events must be submitted to the proper category to be listed. See the next section.
      • Listing Fees, If Applicable: $10 for all your entries for one month or $59 for all for an entire year. Featured Events are $25 for each entry. Expect this structure to change soon.
      • Really Large Events: Such as huge or multi-day speaker events, shows or expos are published at $49 each.
      • Payment: Note the amount due and follow the payment links at completion of your entry.
      • Refusal, Editing: Events may be refused or edited at the sole discretion of the Meetings and Mixers site developer.
      • Prices, Terms, Policies subject to change at any time without notice or obligation.

  • How do I know which Category to use?
    • Categories
      Examples
      • BizOpp/Investment/MLM Mtgs
           (Listing Fee Applies)
      List business opportunities, investment seminars, multi-level marketing meetings or any related meeting, class, teleseminar or webinar. Host organization must be clearly identified.
      • Business/Commercial Events
           (Listing Fee Applies)
      Business or commercial events in which a specific product or idea is promoted with the idea of marketing it to the attendees and earning income from the sale - OR - a presentation is given with the intent of attracting new clients for the host/organizer.
      • Chamber Functions (Free) Any function hosted by a Chamber of Commerce
      • Charity/Fundraising (Free) Events where a charity is the primary beneficiary of the proceeds (not fund raising for your company, really).
      • Civic/Community (Free) Local events of interest to the general populace.
      • Education/Training
       (Some free; some paid)
      Intended for Score, Toastmasters, SBDC, One Stop, Charo, Government sponsored training, special college classes. Fee based Education/Training classes hosted by private companies the Listing Fee applies.
      • Entertainment  (Some free; some paid) Fun things to do of all kinds. Music, openings, festivals, concerts...
      • Expos/Shows (Some free, some paid) Unless hosted by a Chamber of Commerce, Listing Fee applies
      • Featured Events Not generally available. Primarily for site sponsors or events deemed special. If listed, $25 each. Contact us to see if your event qualifies.
      • Job Search (Usually free) For job fairs and state sponsored classes or events whose purpose is to assist the viewer with finding employment. Seminars, meetings hosted by agencies, coaches or consultants that are fee based or designed to attract paying clients are subject to listing fees.
      • Networking Events
           (Free -- See notes above)
      Bona fide networking events are defined as the purpose of the meeting is entirely focused on actual networking. It is not a networking event if only Includes a few minutes of mingling before/after a sales/marketing presentation.
      • Political Functions (Free) Political events of all types. This site is non-partisan, but you can be, so long as your views support the U.S.
      • Referral/Leads Clubs Weekly (Free) Weekly meetings of groups whose purpose is lead/prospect sharing like BNI, LeTip, Team Networking, Leads Club, similar...
      • Social/Singles
           (Free with exceptions)
      Parades, classic car shows, street fairs, community festivals, etc. Exceptions are large functions with entry fees.
      • Service Clubs or Organizations
           (Free)
      Lions, Kiwanis, Rotary Optimist Junior League, Soroptimists, Exchange Clubs Junior Chambers and the like.
      • Sports (Free with exceptions) Anything Sports.
      • Tech Stuff (Free with exceptions) Computer user's groups, SIGS unless they are actually Business/Commercial events where they are selling or exposing tech products or ideas.
      • Teleseminars/Webinars
           (Listing Fee Applies)
      Almost all teleseminars and webinars are Business/Commercial in nature, charging a fee or attracting clients, therefore the Listing Fee Applies
      • Trade/Professional Associations
           (Free with exceptions)
      Free unless they are actually Business/Commercial events, then listing fee applies
      • Women's Groups
           (Free with exceptions)
      All meetings or groups for women belong in this category unless they are actually Business/Commercial events directed towards women (then fee required).

  • How do I register?
    • First you must register to create a UserID and Password. Find the registration screen from the menu at the top of the page:

      The registration form looks like this.

      User Registration:
      • Registration is only required for event hosts/organizers before entering events.
      • If you are a host/organizer who wants to enter events, please provide:
        • UserID (no spaces; letters and numbers only)
        • Password (no spaces; letters and numbers only)
        • Your name
        • E-mail address to which confirmation is sent.
        • Organization (Company or group),
        • City, State, Phone, and the
        • Type of events you will be listing.
      • An activation e-mail will be sent to the e-mail address you provided so you can confirm your registration
      • You must double click on the link in the email to activate your registration, after which you can login and enter your own events in the calendar and category of your choice.

      IF REGISTRATION FAILS: The typical reasons for registration failure are: 1) You did not double click on the link in the validation email; 2) You provided an incorrect or incomplete email address or an email address you do not check on the computer you are using; 3) Your computer does not allow cookies to be set; 4) You are behind a firewall that blocks the incoming confirmation email.
      If you have attempted to register and for some reason, it fails, you must change your UserID before trying again within 24 hours as the first one you used has been 'reserved' even though it has not been activated.   • How do I log In?
    • First you must login with your UserID and Password. Find the login screen from the menu at the top of the page:

  • Okay, I logged in, but still don't see how to enter an event. What's next?
    • Next you must select a calendar in which to enter your event. Use the circled drop down menu on the left to select the calendar. Do not select a category yet.

      Since you have logged in and and you have selected your calendar, an "Add Event" tab now appears under the title. Click it.

      If you do not see this tab you are either not logged or you have not selected your calendar. See Select a Calendar, above.


  • How do I fill out the "Add Event" form?
    • When you are logged in, an "ADD EVENT" tab will appear above the calendar next to the "Day, Week, Month, Year, Events" tabs. Click it, and on the next page, read the info that defines free and paid listings. After reading it, click the "Next" button below it. You will be taken to the new event entering form:

      Let's go through it from the top down:

      First, be sure you are in the correct calendar. If not, cancel, and go back to step X above to select the right one.

      Title your event to differentiate it from similar events. Include your group or company name in the title. Example: "Marketing Breakfast - ABC Morning Group".

      Carefully select the most correct Category. See the category explanation above in step XX

      Select Date, Start time, Duration.

      Optional, but it is a good idea to include your name, email address, phone number, event/group/host URL (web address) and price (you have plenty of room to include text in the price box).

      Use the Event Details box to describe your event. Include only enough info to do so. You can paste, but it may look bad. At the bottom of this entry box are a few formatting tools. Select the text you want to format and click the button that corresponds to the desired formatting.

      The next section covers Repeating events. We have a special topic further down this page. If your event doesn't repeat, you can skip this section.

      The last section is Location. You can include your location in the Event Description box above or use this special section. Click on the drop down menu and carefully check to see if your location is already listed. If, so, select it. If not there are details on this topic further down this page.

      When you are finished, click the "Next" button on the lower left.


  • How do I set my event to automatically repeat?
    • If your event repeats, you can set the schedule here and not have to enter it again for each recurrence. In the "Repeating" tab shown below, you have the choice of setting either none (default -- doesn't repeat), Simple or Advanced scheduling. Click on them to see which applies.

    • See the following sections on Simple or Advanced repeating rules for more details.


  • How do I set Simple Repeating rules?
    • Below is the Simple Repeating screen. Most repeating events can use this.

    • 1) Taking it line by line, the first line allows you to set an event that occurs every so many days or every week.
      2) The second line is for events that repeat on a schedule of the X day of every month
      3) Below the divider, you can choose not to have an end date, or
      4) Up to a certain date, or
      5) For a certain number of occurences. If you set it to run with "No End Date" please remember to edit it if you make changes as it will run as is forever.
      6) To the right is an Exclude Dates box. Example: you have an event that takes place on the Third Thursday of every month except you are dark in December. On the second line from the top, you set that frequency. Then click the Add button next to the Exclude Dates box. A date picker will appear. Scroll to December and click on the third Thursday in December, which will add it to the box. That's it. You can add more than one date in the box to exciude if you wish.
      • This screen will allow you to set a multi-day event. Example, you have a three day weekend event: on the top line set it to repeat every 1 Day(s). On the bottom line, set it to end after 3 Occurrences.


  • My event repeats on a more complex schedule, how do I set that?
    • Below is the Monthly tab in the Advanced Repeating screen. This is the most popular screen. Use this if your event appears on, for instance the first and third or second and fourth or last someday of the month. The example below shows 2nd and last Wed.

    • 1) Click the Advenced link and then the Monthly Tab.
      2) The repeat defaults to every month. If every other month change the 1 to 2, or if quarterly, change it to 3, etc.
      3) Just to the right of the "Weekdays" box select the first repetition in the top box and the day of the week in the second.
      4) Click the <<Add button. The frequency appears in the box
      5) Repeat steps 3 and 4 for another frequency. Example first and third, second and last, etc.
      6) If you make a mistake, select the incorrect one and click the Remove button below the box.
      7) Below the monthly box, you must choose either not to have an end date, or
      8) Up to a certain date, or
      9) For a certain number of occurences. If you set it to run with "No End Date" please remember to edit it if you make changes or cancel as it will run forever if you don't.
      10) To the right is an Exclude Dates box. Example: you have an event that takes place on the Third Thursday of every month except you are dark in December. On the second line from the top, you set that frequency. Then click the Add button next to the Exclude Dates box. A date picker will appear. Scroll to December and click on the third Thursday in December, which will add it to the box. That's it. You can add more than one date in the box to exciude if you wish.
      • There is a lot more flexibility in adding repeating events on advanced schedules. We will be adding to this section over time.


  • How do I enter a new meeting location in the location database?
    • Find the Location tab near the bottom of the form. First, click on the arrow to carefully verify that your event location is not already in the drop down menu. Check various iterations, such as venue name first or city name first (Ex: "Marriot - Los Angeles Airport"). Notice how the location name contains the city name immediately following it as shown in the example.

      If your location is listed, select it and you are done. If you are sure your location is not aleady listed, then you can add it by clicking the "Add New Location" button. You will get this window:

      Important: Observe the intrusive notices in red (fully half of you won't, meaning that I have to take the time to edit)
      This location listing can be used by the entrire Country, meaning that you to select a distinctive name that is exclusive to it. Example: If you hold your meetings at Denny's you need to identify which one. Denny's - Main Street, Chicago would be a good way to list it. We can practically guarantee that every location name is used more than once in the entire US.


  • How do I finish entering my event?
    • If you have finished entering your data in the New Event input form, including repetition and location, find and click the "Next" button at the left bottom of the screen right under the "Location" section.

      You will then see this page. You can enter a note that only goes to Admin. Click the box so you will get notification when the event is published and verify that the email address is where you want the notice sent. Then click the "Save" button.

      Your final screen will present you with payment options and access to the payment section if your event requires payment. Click the correct pricing button and then the "Click here to enter payment information."

      If your event does not require payment, or if you have already paid, click the "Close" button to return to the Calendar. We review all events before publication so it make take an hour or two, depending on the time of day, for your event to be published.


  • How do I edit an existing event?
    • First you must login just as though you were entering a new event. Select Login to Add/Edit Event from the menu.

      Alternatively, use the link at the bottom of the page:

       

      After you have logged in, find your event by going to the calendar and date on which it is posted. Click on the title to see the main detail screen in a separate window. Scroll down.

      You will see an edit button at the bottom of the screen. Click it to open the edit screen. If you do not see this edit button, then you are either not logged in or you do not have 'ownership' of this event.


Events may be refused or edited at the sole discretion of the Meetings and Mixers site developer.
